Client Service Associate

The Client Service Associate (“CSA”) provides direct support to the Wealth Managers and Associate Wealth Managers in all aspects of services delivered by the team to its clients. The Client Service Associate will assist with cash and securities processing, client reporting, custodian paperwork and communication, quality control, maintenance of the firm’s CRM system and will be expected to have direct communication with clients.

Job Specifications:

• Prepare/oversee all custodian paperwork for new clients / accounts and interface with custodians to ensure accurate set-up and transfer of assets. This includes account maintenance as well, such as trustee changes, account registration changes, etc;
• Create, assemble and perform administrative review of reports for client meetings;
• Process all client cash movement requests in a timely and accurate manner; ensure proper descriptions and tax coding in place for every disbursement both at the custodian and on BFM’s portfolio management system;
• Ensure timely responses to all client correspondence and inquiries;
• Work directly with our custodians’ operations teams to properly and accurately execute account administration and transaction processing;
• Process all Required Minimum Distributions (RMDs) for applicable client accounts ; determine if charitable gifts should be made to satisfy RMD;
• Monitor client cash balances and work with Wealth Managers to raise or invest cash;
• Record recurring activities on CRM in order to track and stay up to date on payments;
• Prepare ad-hoc custodian forms as needed to fulfill client requests;
• Process all client gift requests and gift letters; ensure the custodian, portfolio management system, and CRM reflect the recipients of the gifts;
• Ensure all client Investment Policy Statement and other information is entered into the CRM system;
• Maintain all pertinent client information and client files in CRM system and document management system;
• Ad-hoc requests to support Wealth Managers and Associate Wealth Managers.
• Perform administrative review on all client relationships to identify and account characteristics and/or client information that need to be updated.

Preferably, candidates will have obtained a bachelor’s degree and have two years of financial services experience. Experience working at a Registered Investment Advisor or at an RIA custodian is desirable.
